Coach-Halo Privacy Policy

1. Introduction
This Privacy Policy describes how JH People Insights LLC (“Coach-Halo,” “we,” “us”) collects, uses, and discloses personal information in connection with Coach-Halo websites and services, including Coach-Halo Stories, coach discovery/matching, coach introductions, coach accounts/profiles, and related communications. It applies to Story subscribers, people seeking coaching, people requesting introductions, coaches participating in Coach-Halo, and website visitors.
2. Consumers, Story subscribers, and people seeking coaching
Information you may provide
- Name and email address
- Topics or situations you select during signup
- Information you voluntarily submit about what you are going through
- Newsletter preferences and related communications
- Coach connection requests, availability/timezone, and optional discussion notes
- Messages you send to Coach-Halo
Please do not include medical, financial, legal, or other highly sensitive details you do not need to share for Stories personalization or an optional coach introduction.
How we use this information
- Operate Coach-Halo and provide requested Stories and communications
- Personalize stories, topics, and coach perspectives/content
- Determine relevant content
- Facilitate coach connections when you request an introduction
- Improve the service and prevent abuse
- Comply with legal obligations
Important: Your information is not automatically sent to a coach merely because Coach-Halo determines that coach may be relevant. We share information reasonably necessary to facilitate a connection only after you choose to connect with that coach.
3. Coaches
Information you may provide
- Name and contact information
- Coach profile, biography, specialties, ideal client, methodology, programs, pricing, and availability
- Onboarding responses and materials you submit
- Subscription and account/billing information
- Communications with Coach-Halo and lead-activity related records we maintain to operate matching and introductions
How we use coach information
We use coach information to operate Coach-Halo, including lead generation, advertising, directory/profile presence, matching, outreach (including personalized and Thumbtack or other channel outreach where applicable), follow-up, consultation coordination, Coach-Halo Stories and educational content, and AI-assisted content informed by the coaching approach materials you provide. 4. Information collected automatically
Depending on hosting and tooling enabled on a given page or email, we may collect technical and usage information such as IP address, browser/device information, pages visited, referral information, and email open/click engagement signals. We only claim automatic collection that is actually enabled.
5. Service providers
We use service providers that help operate Coach-Halo. As of this draft, relevant systems may include:
- Airtable — coach directory / operational data
- Outseta — coach accounts / membership
- Stripe — subscription payment processing
- Zapier and related automation — lead/workflow processing for Stories and operations
- Website hosting (e.g., Netlify) and internal operational tooling
These providers process information on our behalf to help us deliver the service. We do not claim that information is “never shared with third parties,” because service providers necessarily process information to operate Coach-Halo.
6. AI-assisted processing and content
We may use AI tools to help categorize situations, personalize Stories, summarize or organize content, support matching, and generate educational coach perspectives informed by materials coaches submit. We aim to minimize unnecessary personal detail sent to tools. We do not claim that AI-generated wording was personally written by a coach unless the coach wrote, reviewed, or approved it.
7. Email communications and unsubscribe
If you sign up for Coach-Halo Stories, you agree to receive Stories and related emails. You can unsubscribe anytime using the link in those emails. Unsubscribing from email is different from requesting deletion of personal information. Deletion or other privacy requests can be submitted using the contact method below.
8. Other disclosures
- Legal and safety: when reasonably necessary to comply with law, protect rights/safety, investigate fraud/abuse, or address security issues
- Business transfers: if Coach-Halo is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, subject to applicable law
We do not sell subscribers’ personal stories or sensitive signup responses as a product to unrelated third parties. Newsletter sponsorships, if offered, do not give sponsors access to individual subscribers’ personal situations unless separately intended, disclosed, legally reviewed, and consented to.
Whether Coach-Halo “sells” or “shares” personal information under California law depends on analytics/advertising configuration. We will not state “we do not sell or share” unless verified against live tracking and vendor setup.
9. Retention
We retain personal information only as long as reasonably necessary for legitimate business purposes and legal obligations. Concrete retention schedules for sensitive free-text responses should be configured operationally and are FLAGGED for internal setup rather than invented here.
10. Security
We use reasonable administrative, technical, and organizational measures designed to protect personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Privacy rights and choices
Depending on where you live, you may have rights to access, correct, or delete personal information, or to opt out of certain processing. Contact us to submit a request. We will not discriminate against you for exercising rights available under applicable law. Whether specific statutes apply depends on Coach-Halo’s size and processing.
12. Children’s privacy / 18+
Coach-Halo is intended for adults (18+). We do not knowingly solicit sensitive relationship or coaching information from children.
13. Third-party links and services
Our sites may link to third-party websites or services (including coach sites, calendars, and payment processors). We do not control their independent privacy practices.
14. Changes
We may update this Privacy Policy and will post the updated version with a revised date. Material changes will be handled appropriately.
